In the exploratory phase of the previous employee experience (eX) design project and in the exit interviews, it was found that some of the new employees feel lost in the first period and find it difficult to find their place in the organisation. Although there was a wealth of materials available to assist with the onboarding process, the managers involved had varying degrees of insight into the onboarding process. The aim of the mini project was to gain a deeper understanding of the issues - and to support and standardise the process.
our work
We extracted and interpreted the relevant parts of the eX design research insight bank for onboarding and set the objectives with a project team of a few people. To deepen understanding, we conducted additional interviews with new entrants, HR and IT supporters and managers focusing on onboarding. After synthesising the results, we worked with managers and HR representatives in a workshop to develop an ideal process that also represented the newcomers' perspective.
solution
Based on the results of the first and the complementary research and the workshop, we created an easy to understand and use playbook for managers working with new entrants. We incorporated supporting materials, background folders and contact templates into the lower part of the visualised onboarding blueprint. And in the top section, we've highlighted the needs of newcomers, which helps ensure empathetic support from managers. The 'Let's make the onboarding process joyful for everyone!' playbook also introduced new facilitating roles into the onboarding process and further inspired collaborations.
